Advanced Customer CRM

Review customers, record follow-up work, organize contacts and configure customer-event automation.

Step-by-step guide

Before you start

Use the account and workspace that own the relevant records. The feature also needs to be enabled for this installation and plan.

Open this feature
  1. Open /portal/crm/customers on your site.

Steps

Find a customer and add a note

  1. Open /portal/crm/customers in the intended business/workspace. Use its search and filters to find the person.
  2. Open the matching customer and verify their name/contact details before making a change.
  3. In Add note, enter the detail your team needs. Use Pin note only if it should be highlighted.
  4. Select Save note and check that the new note appears on this customer. To amend an existing note, use its edit control, change Edit note and select Save changes.

Create a follow-up task

  1. Open the intended customer profile and locate its new-task form.
  2. Enter Task title and optional Description. Choose Task type, Priority, an offered Assigned to user and Due at when needed.
  3. Select Create task. Check the task and assignee on the profile or at /portal/crm/tasks.
  4. To change an existing task, open its edit form, review Status with the other fields, and select Save task.

Create and apply a tag

  1. Open /portal/crm/tags and select New tag.
  2. Enter Name, optional Description and Color, then select Create tag.
  3. Return to the intended customer. Choose the existing tag in its tag selector and select Add tag.
  4. Alternatively, use the profile’s Tag name and Color fields with Create and add when you need a new tag directly on that profile.

Create a customer segment

  1. Open /portal/crm/segments and select Create segment or New segment, whichever is shown.
  2. Enter Name, choose the Business scope and add a Description if useful.
  3. Choose Match and define each rule using Field, Operator and Value. Check whether your rules should all match or whether any match is sufficient.
  4. Select Create segment. Open it and inspect matching customers before using it as an audience. When editing, select Save segment.

Configure an automation with a clear scope

  1. Open /portal/crm/automations and select Create automation.
  2. Enter Name, select Business, choose Trigger, and fill any condition Value required by that trigger.
  3. Select Action. For Create task, complete Task title and Task priority; for a tag, status, note or points action, fill the corresponding Action value. Messaging and webhook actions require their own configured delivery destination/automation.
  4. Choose Delay. If using After delay, set Delay value and Delay unit. Review Status before saving so the automation is not enabled unintentionally.
  5. Select Create automation. Verify its trigger, conditions, action and delay using a controlled customer/event before enabling it for live contacts.

Fields and choices

The task above names the fields to complete and explains the choices that affect its outcome.

Check the result

Use the expected result beside each task. Check the intended account, record and final state; a saved draft, submitted request or displayed link is not the same as a completed external action.

Common problems

ProblemWhat to check
The screen or action is missingCheck the correct workspace account, role, enabled app and plan. A hidden action is not fixed by typing an internal endpoint.
A field is rejectedRead its validation message, choose from the offered options and check the relevant format or limit. Do not substitute a database ID for a displayed choice.
A list is emptyCheck the selected workspace, search text, date range and status filters. Clear one filter at a time before concluding that records are missing.
A request is still pendingCheck its status/history before repeating it. For messages, publishing, imports and payments, a submitted request can finish later or fail separately.
