Add, organize and reuse files

Keep uploaded/imported assets in the workspace library and select them from supported editors. An imported file is not automatically public content.

Step-by-step guide

Before you start

  • Choose the correct workspace and make sure Files access/storage allowance is available. Use files you are allowed to upload or import.
Open this feature
  1. Open /portal/files on your site.

How to use it

Upload a file and locate it

  1. Open /portal/files and choose the upload/file-picker control. Select a small supported practice file from your computer.
  2. Wait for completion and check any named file-type, size, quota or storage error.
  3. Use file search, Category and Sort files to locate the saved asset. Open its details and verify its name/type and preview.
  4. Create or choose a folder when organizing assets. Add a useful Note if needed; a note is internal context, not a public caption.

Import from a remote URL

  1. Open the library’s URL-import control and enter a direct reachable file URL, not just a normal webpage containing the file.
  2. Select Import file and wait for the result. The import must satisfy this installation’s storage/type and remote-access checks.
  3. Find the imported asset in the library and inspect its actual contents/type before reusing it.

Use or edit an asset

  1. Open the destination page/editor and use its Files/image picker to select the intended library item.
  2. Inspect the preview and save that page/editor. Storing a file and saving its use in a page are separate actions.
  3. When an image editor is offered, inspect the crop/adjustments and use Save to retain the intended result, or Download to export a local copy. Check the resulting file afterwards.

Fields and examples

Field or choiceHow to use it
Search / Category / Sort filesLocate existing assets and clear restrictive filters when an expected file is hidden.
Folder / Folder nameOrganizes library entries; check the selected workspace/folder before uploading or moving files.
URL importUse a direct file URL with permission to import it. A social/webpage URL can return HTML instead of the intended image.
NoteInternal asset context; verify what the destination editor actually publishes.
Save / DownloadSaving in an editor and downloading a local copy have different effects. Inspect the saved asset and destination separately.

Check your finished result

  • Open the saved library asset, then check the destination editor after selecting/saving it.

Problems and fixes

What you seeWhat to do next
Upload rejectedRead the exact supported type, quota/size and storage error for this installation.
Remote import returns the wrong contentUse a direct file URL rather than a page URL.
File not found in the pickerCheck workspace, folder, file-type filters and picker context.
Downloaded edit did not change a pageChoose/save the edited asset in that page; downloading alone does not update the page.
